All Students must remit a hard copy Housing Contract to the Office of Housing and Residence Life and make the $105 Non-Refundable Housing Contract Fee Payment to be eligible for the process. Housing Contracts are available at the Front Desk of each residence hall area and in the Office of Housing and Residence Life.
Students may make the payment on-line by logging into Seaport and paying with a Credit Card. Students may also make payments by Credit Card, Cash or Check at the Office of Housing and Residence Life. Payment and Contract should be remitted 10 calendar days prior to the students's anticipated Sign-up time or Roommate Pull-In time.
2009-2010 Returning Student Room Selection Process
The returning student sign-up process will begin at 9 a.m. on the first dates and end at 5 p.m. on the ending dates specified. Although the system will remain open 24 hours during the dates listed, UNCW HRL can only guarantee system operation and student assistance between 9 a.m. to 5 p.m., Monday through Friday. Students who need additional assistance are encouraged to come into the Office of Housing and Residence Life during their sign-up time to complete the process.
Seahawk Village and Seahawk Landing Sign-up
Reclaim Room (Stage 1) – Monday and Tuesday, Jan. 28-29. Returning students currently living in the Village or Landing can reclaim their current room. They cannot pull in roommate(s) during this time.
Reclaim Room (Stage 2) – Wednesday and Thursday, Jan. 30-31. Returning students currently living in the Village or Landing who have reclaimed their current room may pull in roommate(s) at this time.
Village and Landing Open Sign-up – Monday and Tuesday, Feb. 4-5. Students currently residing in the Village or Landing can claim a room anywhere in these facilities, and can pull in roommate(s).
Rising Seniors – Wednesday and Thursday, Feb. 6-7. Rising seniors currently living on campus can sign up for a space in either the Village or Landing. They can pull in roommate(s).
Rising Juniors – Monday and Tuesday, Feb. 11-12. Rising juniors currently living on campus can sign up for a space in either the Village or Landing. They can pull in roommate(s).
Rising Sophomores – Wednesday and Thursday, Feb. 13-14. Rising sophomores currently living on campus can sign up for a space in either the Village or Landing. They can pull in roommate(s).
Traditional/ Academic Year Housing Sign-up
Reclaim Room (Stage 1) – Monday and Tuesday, Feb. 18-19. This is for students who currently reside in traditional/academic year housing and wish to stay in the same room. Students cannot pull in roommate(s) during this time.
Reclaim Room (Stage 2) – Wednesday and Thursday, Feb. 20-21. Students who have reclaimed their current room in traditional/academic year housing may pull in roommate(s) at this time.
Same Building Sign-up – Monday and Tuesday, Feb. 25-26. This is for students who wish to reside in the same traditional residence hall area, but change their room. Students may pull in roommate(s) at this time.
Displaced Student Sign-up – Wednesday and Thursday, Feb. 27-28. This is for students who will lose their room because of mandatory relocation of their assigned housing. They may pull in roommate(s).
Open Room Sign-up for students currently living on campus begins Friday, Feb. 29.
Open Room Sign-up for students currently living off campus begins Monday, March 17.

HOUSING DEADLINES AND OTHER IMPORTANT INFORMATION
Traditional Housing Contract Cancellation and Lease Terms
The deadline to cancel a Traditional Housing Contract (Academic Year Contract-defined as August Opening through May Closing) will be June 1. This deadline will be strictly enforced. If a contract is not cancelled by the stated deadline, the student will be held accountable for room and board charges for the full academic year 2009-2010 (both fall and spring semesters). Cancellation of the Housing Contract will result in a forfeiture of the non-refundadable $105 Housing Contract Fee Payment by the student.
*THE TRADITIONAL HOUSING CONTRACT (Academic Year) IS FOR THE FULL ACADEMIC YEAR (August Opening through May Closing).
HOUSING CONTRACT CANCELLATION NOTES
Once a students has signed up for a room in Traditional Academic Year Housing (Academic Year Housing-defined as August Opening through May Closing), the student must notify the Office of Housing and Residence Life by June 1 in writing to be released from their contractual obligation. If this deadline is not met, the student is responsible for the full contract. Please Note . . . the Housing Contract is for the Full Academic Year (August Opening through May Closing).
The reasons a student may be released from their housing contract are:
1) withdrawal from the university
2) marriage (proof is required)
3) transfer to another university (proof is required)
4) graduation
5) financial or other hardship evaluated at the sole discretion of the university
Requests to be released from Spring semester obligations under one of the above listed areas must be made in writing to the Office of Housing and Residence Life prior to November 1 to avoid a $105 late cancellation charge.
Students who feel they have truly unusual circumstances that require consideration may submit an appeal to The Office of Housing and Residence Life. If a student meets one or more of the above stipulations, the student should come by The Office of Housing and Residence Life (962-3241) as soon as possible.
** If an on-campus student plans on participating in a Study Abroad, NSE, or any other university approved program that requires the student to leave campus for the semester, please inform The Office of Housing and Residence Life by November 1 to assure an exemption from the $105 fee.
Note: Releases only occur for the reasons stated in the contract and above. Therefore, students are advised not to sign any off-campus leases until they have written verification from The Office of Housing and Residence Life that their contract is cancelled.
Seahawk Village/Landing Lease Agreement Cancellation and Lease Terms
Students who sign a Seahawk Village/Landing Lease Agreement (12-month lease) have 72 hours after they sign their Housing Contract to cancel their Housing Contract. Students who fail to do so will be held responsible for the full term of their Seahawk Village/Landing Lease Agreement. Cancellation of the Housing Contract will result in a forfeiture of the non-refundadable $105 Housing Contract Fee Payment by the student.
The Seahawk Village Lease Agreement is a 12-month lease agreement if the student re-contracts for the same room for the following calendar year and is a 11.5-month lease agreement if the student is either not returning to Seahawk Village/Landing or is re-locating within the facility.
* Please refer to the Seahawk Village/Landing Lease Agreement for the actual terms and conditions. If a student does not have a copy of their signed lease agreement, the Office of Housing and Residence Life will provie a copy of the document upon request.
Off-Campus Housing Assistance
If your student does not wish to live on-campus, please feel free to contact the Office of Non-Traditional and Commuter Student Services to help find appropriate off-campus accommodations. You may find their services online at www.uncw.edu/seahawkperch or you may contact them by phone at 910-962-7371. This office sponsors the UNCW Housing Fair, which will occur in the Spring.
