Ballroom Safety and Special Event Guidelines

The Warwick Center entertains as many as four events per day in any given location. Catering equipment, decorations, etc.  must be removed at the end of each event, unless special arrangements are made before event date.

Stage power is generally provided by 8-20 amp edison duplex outlets on the south wall of the Ballroom.  200 and 250 amp 3-phase stage power is also available.  Use of this power must be arranged at least ten days in advance. Tie-in to special power must be performed and monitored by a UNCW electrician, and arranged through the reservations office.

Receptacles in the service corridor are not rated for food warmers, multiple coffee urns, or other appliances that require excessive power.  The catering prep area behind the kitchen was designed and wired for that purpose.

SICO portable staging is provided for regular events.  The stage is rated at 450 lbs./ft.² and is normally held together by skid resistant feet, a ganged stage setup is available at an additional cost.

Two load in areas are provided for events, one behind the kitchen at the catering prep area (ground level), and one at the coiling door in the southwest corner of the Ballroom (off the service corridor).  Care should be taken to coordinate your load in with others using the facility.  The single personnel doors shouldn't be used for loading in and out, contact a manager to open overhead doors.

Loading dock doors must not be propped open and left unattended.

Care should be taken when pushing carts, food warmers, or moving other apparatus or equipment down corridors or through doors. Any damage to the facility should be reported immediately.

The food service prep area behind the kitchen was designed as the primary location for food-service/event staging.

The service corridor that borders the ballroom including the loading dock area must be kept clear of obstacles. The corridor is used as an emergency exit route, by event personnel, catering staff, Center personnel, and VIP's and/or entertainers who require access to the Green Room and Event Storage.

Disposal of ice, food, and beverages should not occur in the landscaped areas outside the building, on the pavement, or down storm sewers. Use the trash can wash area on the south side of the building.

Trash cans, hard trash can liners, and carts are not to be removed from the  Warwick Center, and are to be cleaned after use. Bag liners must be replaced when removed. Event trash/garbage should be emptied into the dumpster on the south side of the building.

Fire codes prohibit propping doors to the ballroom, see a building manager for assistance. Do not use furniture or cigarette urns to prop open doors.

Care should be taken to decrease spills, when spills occur they should be cleaned up immediately and Center staff should be notified. Notification of staff will ensure the area is marked with warning pylons, and carpeted areas can be spotted to reduce stains.

Use of tape on painted surfaces is strictly prohibited.

Open flames, candles (unless provided by food service contractor), pyrotechnic displays, and smoke machines must be approved in writing prior to event.  The use of certain smoke machine will require an electrician to be present during event.
